Does BPCC hold client data in their offices?
No, for security purposes we require clients to keep data on their own systems. However we do advise on the most appropriate collection management software for each client, whether this is entirely bespoke or off-the-shelf.
Why does BPCC focus on private collections of art and antiques?
Privately owned collections have a set of requirements that are entirely different from museum and institutional collections. Whereas museums have to adhere to strict rules and regulations and even institutional collections have guidelines, private collectors have the freedom, in principle, to do what they want with their collection. However, they do have a responsibility for the art in their possession. Therefore high-quality collections care and management has become an important aspect of collecting, a development which has been driven largely by the public art world. At BPCC, we combine our practical know-how of private collections with museum-quality standards. As of 2009, BPCC offers their services to corporate collections.
I am not really a collector; why would I have my art catalogued and photographed?
Having your collection photographed and accurately described means that in case of a loss you can tell your insurance company exactly what was in your house which will help speed up the claims procedure. A catalogued and photographed collection ensures a higher chance of retrieval in cases of theft. Having your piece of art well-documented and photographed will give you more assurance in the case of damage by third parties.
Why do I want to have these details gathered in a collection management system?
Having all information about your collection in a computer database makes it easier to keep track of the individual pieces. In addition to this, some information such as the provenance or certificates of a work of art are very important for its value, so keeping records should be done correctly. Even if the collection at present consists of a few pieces, it is better to start early than having to search for the relevant information years after purchase. Another advantage of maintaining records digitally is that a back-up can be easily made and stored in a safe location.
Can I not just store the details of my art collection in Excel?
Yes, you can. For smaller collections this might be a solution. However, once the collection expands and more complicated information (such as historical location, transport or valuation records or currency conversions) needs to be included, it might be better to switch to a designated system. These do not have to be complicated as most can be tailored to the client's needs.
